The 2025 general meeting season is drawing to a close. Between March and May, auviso had the privilege of supporting numerous general meetings across Switzerland. Whether large or small, each event comes with its own specific requirements, demanding careful planning, clear communication, and reliable technical execution.
This year saw a wide range of formats: traditional in-person meetings, hybrid models with online participation, and deliberately streamlined general meetings. Regardless of the chosen format, the expectation remains the same: technology, organization, and processes must run smoothly and reliably.
Achieving this requires not only technical expertise but also a thorough understanding of the workflows and roles of everyone involved — from the client and the share register to additional service providers. Early and structured collaboration is key to ensuring that a general meeting is implemented efficiently and professionally.
The NZZ General Meeting: comprehensive planning and execution
The general meeting of the Neue Zürcher Zeitung (NZZ) is a prime example of a thoroughly planned event. Over 1,000 guests — including around 900 shareholders — gathered at the Kongresshaus in Zurich.
As the general contractor, auviso was responsible for the concept, detailed planning, technical implementation, and coordination of all partners involved. This included stage construction, all signage, and the various shareholder stations, such as the validation counter, the shareholder desk, and the information desk — all built using modular trade fair elements branded for NZZ. In addition, further information points were provided to cover specific topics related to the general meeting. The auviso event management team also organized and managed all aspects of catering, decoration, show calling, security, and guest services.
The content team was actively involved in producing all visual and presentation content for the meeting. All displayed materials were designed and delivered according to NZZ’s specifications.
For the shareholders, this created a clearly structured event experience — from morning coffee to the subsequent Apéro Riche and communal lunch.
General Meeting of a Renowned Chemical Corporation: technical complexity in a hybrid format
The hybrid general meeting of a renowned chemical corporation posed unique challenges. Shareholders and guests on site, as well as the digital audience, needed to be seamlessly integrated. Participation was hybrid — either in person or online — with a live broadcast in four languages and the option for active voting.
auviso handled the stage construction as well as the organization and coordination of all furnishings. In addition to providing classic event technology and show calling, auviso delivered four separate livestreams — one for each language. To ensure a stable experience even in the event of network disruptions, an internet backup system was implemented. This guaranteed that all shareholders could participate and vote at any time without interruption.
The Perlen Industrieholding AG General Meeting: clear planning even for smaller events
The general meeting of Perlen Industrieholding AG, with over 300 participants, demonstrates that even smaller general meetings require careful planning. Every event, regardless of size, needs an appropriate setting — both in terms of venue and organization.
For this meeting as well, coordination with the share register, stage design, and technical implementation were meticulously organized. Clear communication in advance ensured the smooth execution of the event.
